I’ve been thinking about Systems to Automate Your Business.

I’ve been speaking this year at association conferences and corporate meetings about “Lessons from the Mega Companies.” There are seven lessons that I’ve learned over the past 12 years from working with the owners and CEOs of companies in the Top 5% of our industry.

Today, I was interviewed by a Podcast Host about this topic, and she asked me about the lessons we have learned from these companies, and how growing companies can apply these lessons to scale their business.

One of the lessons is … “leaders of large Home Care companies are systems thinkers.” They are always looking for ways to apply processes and people to systematize their business.

Over the years, we have identified twelve systems that you can put in place to scale your home are business. The twelve systems are:

  • Sales System
  • Marketing System
  • Inquiry Conversion System
  • Caregiver Recruiting System
  • Caregiver Retention System
  • Staff Compliance and Information System
  • Scheduling System
  • Care Coordination System
  • Payroll System
  • Billing & Collection System
  • Metrics Tracking System
  • Financial Reporting System

While you need to determine which of these systems are most important to you and your company, we did ask that question in our 2025 Future of Home Care Study that we conducted in November of 2024. The final report is being written right now, and will be released this week.

Which Systems Are Most Important to Scale Your Business?

Over 250 Home Care company leaders participated in this year’s survey of the factors affecting the future of Home Care. This is a 25% increase over last year’s survey, and there are some very interesting new data coming out.

One of those new data points is the most important system, according to our survey, is Caregiver Scheduling.

This is a shift from last year, when Caregiver Recruiting was number 1, and Caregiver Retention was number 2. So what’s going on that has caused Caregiver Scheduling to move up from number 3 to number 1?

I think there are several things. First, company leaders are much more interested in technology and how technology can help you automate your systems. This goes along with a heightened in interest in AI – Artificial Intelligence.

I think this issues is also increased by burnout in scheduling coordinators who are exhausted from several years of caregiver shortages and too many short shifts.

And finally, I think that Home Care leaders are thinking about scheduling systems because of their level of satisfaction with their scheduling software, and the frustrations they are experiencing.
